JOB OVERVIEW
JOB TITLE Logistic Assistant
DEPARTMENT Supply Chain
LOCATION Sana’a
REPORTS TO Sr. Logistic Officer
DURATION 3 Months Renewable according to budget & performance
ABOUT Building Foundation for Development:
BFD is a non-governmental and non-profit Yemeni organization that was established in 2014. BFD is a leading humanitarian-based and development-oriented organization which over the years extended its coverage to several governorates with a mission of working in a humane and transparent manner for the vulnerable groups in society and the affected groups through the implementation of sustainable development and relief programs of the highest quality. Responding to all areas of humanitarian sectors BFD aspires to provide an integrated humanitarian and development response to conflict-affected areas through a professional neutral transparent approach and through adherence to the Core Humanitarian Standards (CHS).
DUTIES & RESPONSIBILITIES
  • Assist in all Logistic tasks as per BFD’s Logistic Handbook.
  • Prepare weekly records of logistics fleet management activities.
  • Update the Logistic-tracking sheet on a daily basis.
  • Liaise with BFD main office on all items that are not locally available.
  • Maintain regular follow up with suppliers to ensure timely delivery of goods as per contracts signed.
  • Ensure assets register and inventory for the offices are up-to-date in all times.
  • Constantly monitor inventory tagging and recording in accordance with the BFD/Donor guidelines.
  • Ensure BFD warehouses are managed according to BFD warehouse management guidelines and records are well maintained.
  • Ensure that all items in the warehouse are properly numbered and tagged and all deliveries and goods issued are properly.
  • Assist in vehicle fleet management including the distribution of working tools/ building materials transport needs.
  • Ensure all vehicles meet BFD requirements for safety management of vehicle running logs booking and assignment of vehicles.
  • Assist in monitoring the carpool to ensure optimal use which includes service and maintenance etc. Ensure that logbooks are always filled in and maintain an updated overview of expenses for each vehicle.
  • Organize files and maintain them updated both manually and electronically.
  • Prepare purchase requests goods receipt notes and any other BFD logistic forms.
  • Assist inappropriate documentation of all logistics operations.
  • Any other task as requested by the direct supervisor.
Health and Safety:
The post holder must at all times carry out his/her responsibilities with due regard to the BFD policy organization and arrangements for Health and Safety at Work.
Core Humanitarian Standards (CHS):
The role holder is required to carry out the duties in adherence to the Core Humanitarian Standards the values and principles outlined in BFD’s policies such as Code of Conduct Prevention of Sexual Exploitation and Abuse Child Safeguarding Anti Workplace Harassment Fiscal Integrity Anti-Retaliation and other internal policies and guidelines.

REQUIRED QUALIFICATIONS AND SKILLS:
  • University degree in Engineering Logistics Business Management or another related field
  • Minimum of (1) years experience in a similar position.
  • Proficiency in English & Arabic is essential.
  • Computer skills: Microsoft Word Excel Internet etc.
  • An honest and trustworthy person.
  • Ability to prioritize tasks and meet deadlines.
  • Excellent verbal/written communication and interpersonal skills with a demonstrated ability to establish effective working relations with the staff and other stakeholders.
  • Able to work under pressure and under harsh living conditions.
  • Ideally flexible to work beyond office working hours when needed.
  • Excellent organizational skills self-motivated and efficient with a willingness to pay attention to details.
  • Excellent interpersonal and problem-solving skills creativity and flexibility.
  • Comply with all relevant BFD policies and procedures with respect to child protection workplace environment employee code of conduct and all other related subjects.
