GENERAL JOB DESCRIPTION |
MAIN PURPOSE: |
We are seeking a detail-oriented and proactive Procurement Assistant to support our tender evaluation and analysis processes. The ideal candidate will facilitate the coordination of bids, manage documentation, and collaborate with various teams to ensure the successful execution of procurement activities. |
DUTIES & RESPONSIBILITIES: |
- Assist in the evaluation and analysis of tender documents and submissions.
- Collect, organize, and review data related to tenders and formal quotations.
- Collaborate with project managers and other departments to gather insights and information for analysis.
- Organize the process of receiving bids from bidders and coordinate with the bid opening committee.
- Archive formal quotations and tender procedures appropriately to ensure easy retrieval and compliance.
- Prepare detailed reports on tender submissions, including financial and technical evaluations.
- Coordinate and facilitate the work of related committees (Tenders, Bid Opening, and Analysis) during formal procurement and tender procedures.
- Prepare related documents such as tender committee awards, memos, and approvals for announcement to the tender committee.

REQUIRED QUALIFICATIONS AND SKILLS: |
- Bachelor’s degree in Business, Finance, Engineering, or a related field.
- At least one year of experience in Procurement.
- Previous experience in tender analysis or procurement is preferred.
- Strong analytical skills and attention to detail.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
- Familiarity with tender management software is a plus.
- Excellent written and verbal communication abilities.
- Strong organizational skills and ability to manage multiple tasks simultaneously.
- Ability to work collaboratively in a team environment and facilitate meetings.
- Strong time management skills and ability to meet deadlines.

The role holder is required to carry out the duties in adherence to the Core Humanitarian Standards, the values, and principles outlined in BFD’s policies such as Code of Conduct, Prevention of Sexual Exploitation and Abuse, Child Safeguarding, Anti Workplace Harassment, Fiscal Integrity, Anti-Retaliation, and other internal policies and guidelines. |
