JOB TITLE: Project Assistant
DEPARTMENT: Program
Report to: Project Manager
LOCATION: Sana’a with regular field visits
Duration: A year renewable according to performance & budget
ABOUT Building Foundation for Development – BFD :
BFD is a non-governmental and non-profit Yemeni organization, that was established in 2014. BFD is a leading humanitarian-based and development-oriented organization, which over the years extended its coverage to several governorates, with a mission of working in a humane and transparent manner for the vulnerable groups in society and the affected groups through the implementation of sustainable development and relief programs of the highest quality. Responding to all areas of humanitarian sectors, BFD aspires to provide an integrated humanitarian and development response to conflict-affected areas through a professional, neutral, transparent approach, and through adherence to the Core Humanitarian Standards (CHS).
MAIN PURPOSE:
The Project Assistant will support the implementation and operation of project activities which include coordinating activities, monitoring progress, and providing information and recommendations as needed. also involves assisting in project development, coordination, advocacy, and communication. The Project Assistant will work closely with project managers, project officers, and team members to ensure the successful execution of project activities.
Duties and Responsibilities:
- Assist in planning the activities alongside the project team and oversee project activities in the targeted governorates.
- Serve as a point of contact for project-related inquiries and requests.
- Coordinate with the project officers (Health, nutrition, and protection) to ensure that the various aspects of the project response are integrated.
- Maintain project files and documentation, ensuring accuracy, organization, and confidentiality.
- Assist the procuring and managing project supplies, materials, and equipment as needed.
- Coordinate logistics for project-related meetings, workshops, and events, including catering arrangements, and related requirements and documents.
- Assist in the coordination of project-related training sessions and capacity-building activities.
- compile, and analyze reports submitted by project officers.
- Coordinate and facilitate regular project review meetings involving the project team, BFD management, and pertinent stakeholders.
- Oversee the complaints raised by beneficiaries, and subsequent follow-up, addressing and feedback.
- Assists in documenting the lessons learned from implementing project activities.
- Monitoring the reporting of risks associated with project implementation.
- Supervising the monitoring of the project admin’s performance and commitment.
- Assist in the preparation of progress reports, status updates, and presentations for project activities.
- Assist in maintaining project databases and tracking systems to monitor project milestones, deadlines, and deliverables.
- Liaise with project team members, partners, and stakeholders to facilitate communication and collaboration.
- Contribute to the development of project communication materials, such as newsletters, website updates, and social media posts.
- Assist in ensuring adherence to project timelines, budgets, and quality standards.
- Support compliance with project policies, procedures, and regulations.
- Contribute to monitoring and evaluation efforts to assess project progress and impact.
- Meet project performance goals.
- Ensure competency in effectively utilizing and distributing essential resources for project tasks.
- Accuracy in providing the data required for reporting purposes.
Required Qualifications and Experience:
- Bachelor degree in medical or any related field.
- Previous experience in project administration, coordination (preferred)
- Excellent English written and verbal communication skills.
- Communication, advocacy, analytical and training skills.
- Good knowledge of computer management and applications i.e. word processing, spreadsheets, databases, presentation tools, etc.
- Ability to work in a multi-cultural environment, and under emergency conditions.
Core Humanitarian Standards (CHS):
The role holder is required to carry out the duties in adherence to the Core Humanitarian Standards, the values and principles outlined in BFD’s policies such as Code of Conduct, Prevention of Sexual Exploitation and Abuse, Child Safeguarding, Anti Workplace Harassment, Fiscal Integrity, Anti-Retaliation and other internal policies and guidelines.
