The Grants Assistant will help provide support to BFD Grants Program by monitoring the grants process and procedures from inception to completion, Contribution to the development and revision of funding proposals, budgets and donor reports in compliance with BFD policies and procedures. | |
DUTIES & RESPONSIBILITIES | |
Program / Department Summary :
People Department is responsible for Planning and designing for programs to be funded for BFD and sub/partners (if valid) based on BFD’s and Donor’s mission; announcing and promoting available grants; Design and review proposals, facilitating program development related to content, managing donor approval processes and communications ESSENTIAL JOB FUNCTIONS: · Exanimating updated grants continuously that are uploaded on the Derby and Forcast websites and other international fundraising platforms, in line with the interventions and experiences of BFD in all humanitarian sectors, in compliance with BFD policies and procedures. · Conduct an integrated analysis of all available grants of direct and indirect donors through BFD’s membership of funding websites , such as the Development Aid platform and others. In order to ensure BFD’s eligibility for obtaining the targeted fund before proceeding submission of technical & financial proposals , concept note, expression of interest. · Contribute to the development and revision of funding proposals, budgets and donor reports. · Ensure that all programme staff are aware of requirements and conditions of grant agreements and contracts, through the use of grant opening/mid/closing meetings and other methods. · Ensure the process of sustained communication with UN volunteers to determine all their requested responsibilities after obtaining the final approval from concerned managers in order to facilitate the completion of tasks at grants unit and other departments. · Ensure quality of program writing, including program activity plans, reports and informal updates. · Collaborate with Program Team on grant recommendation review from a grants administration legal compliance perspective. · As delegated, act as sub-focal point for all queries and information requests from BFD in clusters, meetings, working groups and any other donors related communication in case the grants or programme managers are not available. · Support the coordination and consultation with Programme Sector Leads, Finance, HR and Operations Team (including Logistics, Procurement and tendering) and that necessary support adequately is budgeted policies and procedures. · Support the coordination and consultation with Programme Sector Leads, Finance, HR and Operations Team (including Logistics, Procurement and tendering) and that necessary support adequately is budgeted policies and procedures. · Rreviewing and approving sub/implementation partner reports prior to payments, reviewing and approving the pre-grant documentation, sub-agreement and any modifications. · Prepare reports for donors, partners, government on program progress, ensuring all reporting requirements of donors are delivered on time and in a quality manner. · Advise staff on contractual and grant issues, Donor regulations, and BFD policies and procedures that are related to subaward management and risk mitigation in the different working environment. · Maintain program files and ensure copies of donor concept notes, proposals, contracts and reports are correctly filed. · Provide solid advice to sub-awardees on audit requirements. · Develop, manage, and monitor subaward. · Perform other tasks as assigned by executive director and Grants Manager. QUALIFICATIONS AND EXPERIENCE · Minimun of a bachelor’s degree or equivalent experience with certificate/training in Engineering, Buisnees Management or a related field. · Minimum one to two years’ experience in Grants department (Writing proposals , overall budget) with humanitarian organizations. · Skilled writer and synthesizer of diverse and complex information, helping teams generate new insights into their work, the needs of their country and the region, and how program impact can be scaled. · Ability to understand the larger picture while remaining focused on the details. · Strong communication and facilitation skills and ability to establish good working relationships with colleagues and stakeholders in a sensitive environment. S/he must be able to respond quickly to requests for information. · Excellent organizational skills and interpersonal skills. · Proficiency with MS Office software required. · Supervisory and problem solving skills. · Fluency written and spoken in English and Arabic.
